Automating settlements with freelancers and clients

Smartcat allows you to track translation jobs, pay any freelancers involved in your translation projects, automate the corresponding document flow, as well as receive payments from your own clients.

Freelancer payout and billing automation

Smartcat lets you automate payouts, billing, and paperwork with any freelancers working on your translation projects.

These can be translators working in Smartcat’s CAT environment or any other translation automation tool, interpreters, DTP specialists, copywriters, terminologists, project managers, and so on.

How does it work?

  1. You assign jobs to freelancers.
  2. You accept the jobs once they are done.
  3. You create an invoice to pay for the accepted jobs.
  4. You pay the invoice.
  5. Smartcat pays freelancers within 2 business days after receiving your payment.

How do I add the jobs?

To add a single job, click “Create freelancer's task” and fill in the required details.

If you want to add several jobs at once, import them as an Excel spreadsheet.

Each row must contain the following fields:

  1. Freelancer’s email,
  2. Freelancer’s full name,
  3. Job name or description,
  4. Amount payable for that job, and
  5. Payment currency.

You can provide additional information — it will appear in the job list and the invoice. You can download a template with the required field structure.

You can also export jobs and payables from your favorite TMS.

After adding the jobs and confirming their price you can work with them on the Payments page.

How do I create and pay an invoice?

  1. Choose accepted jobs to be paid and click “Create bill and pay”.
  2. Pay the invoice by card or wire transfer.

You can also pay the invoice using money received from your customers to your Smartcat account.

How will freelancers receive the money?

Once you add the jobs, all freelancers who are not yet added to your team in Smartcat will be signed up automatically and notified of a pending payment.

Any freelancers added by you are not visible to other Smartcat users.

After choosing the preferred payout method and filling out the required details, they will be able to receive payouts for their accepted jobs. The following payout methods are supported:

  • Bank cards,
  • PayPal,
  • Wire transfer, or
  • Smartcat-issued Prepaid Mastercard.

Settlements with clients

Translation companies can receive payments from their clients using Smartcat. This can be easier and more cost-effective when your client is a resident of a different country and has a hard time paying you directly.

How does it work?

Contact us at success@smartcat.ai if you want a client to pay you via Smartcat.

We will release invoice for your customer and send it to you so you can communicate with your client directly. After collecting the payment, we will credit your Smartcat account.

You can then either transfer your balance to your bank account or use it to pay your freelancers or subcontractors.

How much does it cost?

Smartcat fee varies from 3 to 8% depending on the volume of jobs processed, your country of incorporation, and your freelancers’ residence.
