Magento is an open-source e-commerce platform written in PHP. More than 100,000 online stores have been created on this platform. Magento accounts for about 30% of the total e-commerce market share.
The Smartcat Translation Manager can be used to automate the translation process of most of the content of a Magento store - product descriptions and attributes, pages, blocks, and categories.
The Smartcat Translation Manager is compatible with Magento Open Source 2.2 and 2.3. It is free and can be downloaded from the Magento Marketplace at this link. Translation Manager is a standard Magento extension that can be installed like any other extension.
Once Smartcat Translation Manager is installed, a new option will be added in the Magento left menu - Localization. This option gives you access to 3 pages — Profiles, Dashboard and Configuration. Profiles and Dashboard are explained in the following sections, but before you can use the Translation Manager, you need to link the Magento account to a Smartcat account. The account could be your account or the account of a localization vendor you are using. If you don't have one, please go to smartcat.ai to create a new account. In Smartcat, go to Settings>API on the left-hand menu to generate an API key that will be used to recognize your account.
Click on Create New Key which opens the following dialog:
Choose a unique name, preferably something that will identify the Magento account since you can have more than one account linked to your Smartcat account, copy the key using the button on the right of the key and click on confirm. You cannot view and copy that key later on so make sure to use it right away in Magento or paste it in a document that you can refer to later.
Back in Magento, go to Localization → Configuration and enter your API credentials - your server location, your account ID and the API key you just created. Your account ID can be found on the Settings>API page of your Smartcat account and if you don't know your server location, please contact our support team. Don’t forget to save your changes by clicking on Save Config.
The installation step is now complete, Magento and Smartcat are now linked.
With Magento, there is no need to specify the languages to be supported for the translation process. Languages are built-in the system. But you still need to tell Smartcat how your documents will be processed - from language choices, workflow and even add automation. This could be helpful if for example you want to maintain translated stores in perfect sync with your main store or want to be able to select the content to be translated for specific languages if you have stores with different content.
To set up profiles, select Localization > Profiles in the left Magento menu. This will take you to a page that displays existing profiles (if any) or allows you to create new ones.
To create a new profile, click on New Profile. You will be presented the following options:
First, select a name for the profile that you are creating. If you don't, a name will be generated automatically. The Translation Agency option lets you decide if jobs created using this profile will be managed from your Smartcat account (for example, task assignment) or if they will be delegated to a vendor associated with your account. This can be helpful if you are working with an LSC for certain languages. With the next two options, you can select your source and target languages. More than one target language can be associated with a profile. Selecting workflow stages will then let you control the translation process - you can customize this based on the level of quality needed. Note that it is possible to create different profiles to translate into the same languages as quality requirements might vary for different content. The Smartcat Project ID option is used to set up continuous localization processes. By default, when you send new content to be translated to Smartcat, a new project will be created. This is not always the ideal scenario. In many cases, it might be preferable to have a single project where all the linguistic assets are preselected and where pre-translation rules are defined and add content to be translated as it is created. This simplifies project management greatly especially if you have multiple Magento accounts linked to your Smartcat account. The project ID is not the name of the project, but rather the sequence of letters and numbers that see in the browser address bar when you open the project page:
Simply copy and paste that information in the Smartcat Project ID field. Then every single document sent to translation using this profile will be added to this project.
The last 2 options that you can select are to submit new and updated products for translation automatically. These options should only be used if you want translated content to be synchronized perfectly with the languages associated with a profile. This is a very powerful option but should be used with caution if you don't want to generate unneeded translation projects.
Note: These options only apply to the product description and not any other content.
Once you have selected all the options, click on Save Profile to save the information. Profiles can be edited later if needed from the list of existing profiles.
You can create multiple profiles to deal with different localization requirements. Once all the profiles needed have been created, you can proceed with translating content.
There is a lot of content that can be processed for translation in a Magento implementation. First, all the main pages for the site can be translated using Smartcat. In Magento, select Content in the left menu and then Pages. The system will display a list of pages that make up the static part of the site. Pages like About Us, Customer Support Policies and so on. To send this content to translation, simply check the pages to be translated (or use the option to select all) and from the Action drop-down box, select Submit for translation.
Clicking on that option will open a sub-menu item that will show you the profiles created in the previous step. Choose the appropriate profile and confirm that action in the pop-up that appears. Once you click on OK, the items that you selected for translation will appear in the Localization Dashboard.
From the same Content option in Magento, you can also navigate to the Blocks page. Blocks are pieces of content that can be added to any page on the site. The process for translating blocks is similar to the process outlined above for pages.
The main content to be translated on an e-commerce website is the product description. This is content that will be added or updated frequently. As described above, it is possible to define profiles where new or updated product descriptions are sent to translation automatically. Products can be found in the Catalog option in the left menu under Products. Magento will then display existing products in a table with the relevant information including a picture.
To send a product description to be translated, simply check the product in the leftmost column and select Submit for translation in the Action drop-down box. Just like for pages and blocks above, you will have to option to choose the profile you want from a sub-menu. Confirm your choice in the pop-up dialog box and these products will be added to the Dashboard.
Once the content has been sent for translation, it is possible to track progress from the localization dashboard. In the Localization menu, select the Dashboard option. There, a 10-column table will display information such as content type and name, languages, profile and of course status about every single item that has been sent for translation.
The status will change from Waiting to Created to In Progress to Completed as tasks are processed in Smartcat. Once the status changes to Completed, the translated content will be visible in Magento. One column displays a link to Smartcat which allows the user to open the CAT editor and view the content being translated. It can be useful to implement a review process that includes the end customer for example.
Projects created in Smartcat using the connector can be processed like any other project but before proceeding with translation, resources such as translation memories, glossaries, and machine translation engines should be specified, pre-translation rules should be defined and statistics refreshed to reflect the additional linguistic assets. If you have indicated a Smartcat project ID in the profile description, no new project will be created, documents will simply be added to the existing project. The advantage of this process is that linguistic assets and predefined pre-translation rules using TM and MT will be applied to the new documents, saving time for the project manager who will only need to assign tasks.
Displaying the translation
Magento will add an option on the page to switch to what is called a store view. There, languages can be chosen. However, the site operator will need to deal with the principle of scope which governs what can be seen depending on each scope definition. It is not as simple as a standard website.
