Once the project has been created, you will be taken to the project page where you can make some changes that will affect the content of the project, the possible workflow, and also how the linguists work in the Editor. This will also give you the opportunity to correct some settings that might have been incorrectly set during project creation in the appropriate tabs.
The Resources tabs will allow you to add the translation memories or glossaries connected to the project or change your machine translation options:
Make different selections (or change settings) if needed and click on Save or Save and run in the case of the machine translation option. By clicking on the setting wheel in the MT section, you can also select the MT engine you want to use for each language just like during the project creation process.
The Pretranslation tab allows you to add pretranslation rules if you have not done so during the project creation or if you have made changes to the resources associated with the project:
The process is the same as described in the Project Creation article.
By selecting the settings wheel on the Files tab, you can change some project parameters in 3 separate tabs:
In the first tab (General information), you can change the name of the project, the deadline, and all the other parameters. You can also add languages to the project but it is not possible to delete existing languages.
You can also change the Quality Assurance settings and apply these new settings to the existing documents. Check the Critical checkbox if you want these errors to require correction before segment confirmation. Changes there will be rarely be required because the default settings are generally applicable to most projects.
On the second tab (Workflow), you can add new stages to your project:
If a task has not been started yet, you can delete it by clicking on the trash can icon next to it. And you can add new tasks at any time during the project. If, for example, your client wants to add an internal review stage, you could add a new proofreading stage even after the project has been started. Complete flexibility!
The third tab (Assignee settings) allows you to set some rights for the linguist team:
There you can allow your freelancers to download the source and target files. It will work in cases where documents are of a sensible nature, and you want to prevent freelancers from downloading the files. In other cases, this options lets the linguists review the result of the translation in context by downloading a translated version.
You can also choose to let your linguists merge and split segments as needed. This could be helpful in cases where the segmentation has not been applied properly or if the text has been split in the source file by bad formatting. There are some cases where you don't want linguists to change the segmentation though - for example when working with localization files where segment length is restricted.
Finally, it is possible to allow linguists to confirm segments in batches. If you select this option, you will be given the choice to apply it to one or more stages:
This option can be useful in a latter stage like editing and proofreading where the linguists might correct segments that need to be corrected and confirm all the remaining segments at once, saving time not having to confirm segments individually.
Note: This feature is optional. If you don't see this option, contact the Smartcat support team and ask them to activate it in your account.
Many documents and projects contain segments that might be repeated multiple times. Smartcat can help linguists by propagating the content of translated segments automatically not just in a single document but throughout the entire project. Repetitions are indicated in the Editor with a down arrow next to the segment number.
This indicates that a segment appears again somewhere in the project even if it is in a different document.
Auto-propagation settings can be configured by the project manager at the project level or by the assignees using the settings menu in the Editor. If the project manager makes the project repetition settings obligatory to follow, the personal preferences of people assigned to this project won't have any effect, nor can assignees change these settings.
To set up auto-propagation and confirmation of auto-propagated text for the current project, click the Repetitions button on the project’s page. The following dialog box will appear:
Here is a quick explanation of each option:
Allow auto-propagation. This is the master switch that will tell Smartcat to look for and propagate repetitions.
Force for the entire project. The setting makes assignees comply with the rules set on the project level.
Propagate to segments with different case. There could be times when the text in a segment is a repetition of another segment, but the words are capitalized differently. If this option is checked, Smartcat will propagate the text to segments regardless of the capitalization but with 2 possible options:
Use the original case — The capitalization of the segment will be maintained
Use the match case — The capitalization of the segment will be changed to match the original segment being propagated.
Propagate to confirmed segments. If this option is checked, the content of segments that have already been confirmed will be overwritten by the content of the segment being propagated.
Confirm auto-propagated segments. Segments that are being translation using auto-propagation will be confirmed automatically to match the current workflow stage.
There could be situations where a segment that is a repetition of a previous segment should not be pretranslated by propagation. For example, if the context is different and the segment requires a different translation. By clicking on the arrow next to the segment number, it is possible to exclude a segment from pre-translation.
The down arrow will be crossed over to indicate the new status.
